The Events Coordinator III in the Office of Events and Visitor Relations at Texas A&M University at Qatar is responsible under general supervision, for providing central coordination of large events and conferences, to include pre- and post-event liaison with our faculty, staff, researchers and students at Texas A&M University at Qatar. Responsible for planning, design, production and promotion of campus events. Salary: Compensation will be commensurate to selected hire’s experience.

Position Details: This position is NOT located in the United States. One must be willing to relocate to Doha, Qatar. The selected candidate must be able to work beyond normal office hours and/or work on weekends.

Required Education and Experience:

  • 3 years of related work experience in event planning and marketing including related supervisory experience

Responsibilities:

  • Events Planning and Compliance – Provides overall event management support. Analyzes, contracts and executes event related requirements and services. Serves on the Events Coordination Committee and provides events management support and scheduling. Coordinates and books event spaces internally and externally. Coordinates event setup requirements, including floor plans, contracting event equipment, such as stage, podium, lighting, sound, décor, floral arrangements, translation, photography, videography, translation, etc. Coordinates with Office of Building Operations & HSSE as well as IT to make proper arrangements for events (AV setup and support, security, parking, pantry services, extra cleaning, compliance with health and safety standards, etc.) Coordinates event transportation and traffic control plans. Coordinates special applications and approvals for government event licenses, and prepares risk assessments for assigned events. Follows up with event vendors on orders and deliveries. Handles financial tasks such as reimbursement, request for payments, purchase orders, keeps track of expenses, invoices and payments; follows up on vendor payments after events; ensures compliance with purchasing guidelines and handles contract negotiation. Maintains an inventory of event related equipment, supplies, collateral and stationery.
  • Client Services – Anticipate, identify, understand and manage our internal and external client event needs and inquiries. Follows up with clients to ensure all preparations have been made. Acts as a point of direct contact for day to day small to medium sized events hosted by faculty, staff, researchers and students. Coordinates and liaises with other offices and external institutions on a range of event-related operational and administrative issues.
  • Catering – Coordinates catering functions by working with caterers to provide menu options, ensure timely delivery, monitor setup and teardown, as well as compliance with health and safety standards and food hygiene; responsible for implementation of purchasing guidelines for catering, bidding and invoicing.
  • On-Site Event Management – Ensures event spaces, setup requirements and all contracted event services have been executed and are ready on time. Monitor setup and dismantle as well as compliance with health and safety standards and food hygiene. Provides support and troubleshoots during live events.
  • Events Communications – Coordinates with Communications to organize event collateral and other branded material. Provides news media and social media support during live events. Posts news, announcements and documents on the University’s internal site.
  • Visitor Relations – Coordinates travel, accommodation and transportation arrangements for international event participants. Interacts with clients, general visitors, event stakeholder such as sponsors and donors. Coordinates general campus and lab tours and supports VIP visits and delegations. Performs other duties as assigned.

Required Education and Experience:

  • Bachelor’s degree in Computer Engineering or Computer Science or relevant field, or equivalent combination of education and experience
  • Three years of related experience in laboratory operations in a post-secondary or adult training/educational institution and/or experience as a practitioner/professional within a relevant discipline in Engineering

Responsibilities:

  • Specialized Technical Knowledge – Organizes the electrical undergraduate teaching laboratories so that they are effectively configured to maximize the student learning environment this includes but not limited to housekeeping of assigned labs. Explains to students any difficulty or complex details of laboratory equipment or experiment procedure to be performed. Supervises and assists students in conducting practical laboratory experiments during laboratory hours in the undergraduate teaching labs. Advises students in laboratory report preparation outside of scheduled laboratory hours. Grades laboratory assignments and reports according to faculty prepared guidelines. Ensures all TAMUQ safety protocols and standards are maintained. Assists the Laboratory Manager in departmental projects. Is responsible for routine maintenance and oversees inventory management of laboratory supplies. Assists the Laboratory Managers in communicating with vendors to have all spare parts available for teaching labs.
  • Lab Instructorship – Prepares high quality learning support materials and employs a variety of teaching strategies to meet diverse student needs. Supports the course instructor, including grading homework assignments, quizzes and term projects. Holds recitations help sessions and problem-solving sessions, and exam review sessions. Maintains office hours for one-on-one tutoring sessions.
  • Lab Operations – Coordinates with faculty and Lab Manager to ensure that the laboratories are set-up and ready for classes. Prepares laboratory manuals and standard laboratory procedures under faculty and Laboratory Manager supervision. Prepares all necessary equipment for laboratory sessions. Reports to the Laboratory Manager modifications, updates, and innovations introduced to the teaching labs and the storage room. Performs routine maintenance, and safety procedures on all laboratory equipment. Maintains inventory records of laboratory supplies, goods and equipment. Determines the need for equipment and supplies and arranges for purchasing, receipt, and inventory of all laboratory goods and supplies.
  • Admin and Trainings – Prepares the required documents for ABET compliance requirements of assigned courses. Trains and indirectly supervises Student Workers in the handling and preparation of laboratory materials. Attends workshops events, meetings and training recommended by the Laboratory Manager. Performs other duties as assigned.
