  • Proactively explore new vendors and products enhancing the company’s standards
  • Interview potential vendors, inspect facilities and evaluate products and services
  • Float tenders / enquiries with detailed terms and conditions depending upon the value and nature of items as per SOP.
  • Evaluate offers – prepares CSQ (comparative statement of quotes) in terms of specifications/cost and delivery time.

  • Maintain good relationships with vendors and ensure that OTIF parameters are adhered.
  • Discuss defective or unacceptable new goods or services with users, vendors, and others to determine cause of problem and take corrective and preventative action.
  • Develop, maintain, and enhance material flow plan that ensures optimum inventory.
  • Warehouse physical inventory verification and verifying inter outlet transfers and co-ordination with 3 PL partner for smooth operations.
  • Support the Repairs & Maintenance Manager on maintenance related tasks and supplier follow ups to track service levels.

Import & Export

  • All shipments between Foodmark territories are organised efficiently and are cost effective.
  • Ensure all Import and Export paperwork is complete correctly and costs updated correctly and on time.
  • Work with brand partners to ensure they understand all import requirements/regulations for the specific territories, raising any issues encountered with freight forwarders.

Cost Optimization

  • Negotiate with suppliers to minimize costs of materials/services
  • Frequently review freight forwarding contracts and look for opportunities for cost optimization without compromising quality of service/products
  • Manage department’s controllable expenses
  • Regularly review high-cost items, continuously re-source products
  • Maintain a monthly savings tracker.

Process Improvements

  • Monitor purchase requisitions in accordance with company policy and negotiated terms and conditions
  • Ensure procurement files are documented
  • Track purchasing activity and measurements
  • Liaise with Accounts Payable Department to ensure accurate and timely payment of invoices, as necessary for the business with the supplier
  • Prepare the month end accounts reports in an accurate and timely manner
  • Ensure locally Nominated supplier information is kept current
  • Work with the department head to draft the annual budget for his/her assigned division.
  • Act on Audit reports/GSP
  • Adherence to local government regulations  requirements
  • Ensure systems are updated with depot transfers and deliveries are managed in the system. Raise purchase requests for 3PL Warehouse rental and transport charges.

Territory Support

  • Give in Country support to all Supply Chain teams.
  • Own the Supplier cost savings from the territories helping to identify opportunities and support territory Supply Chain to achieve the savings.  These savings are tracked centrally for reporting. COGS
  • Supplier issues are raised by the territory teams and support will be given centrally to resolve. Buying
  • Support a nominated brand by attending brand meetings and acting as the Supply Chain representative for the brand, coordinating with Supply Chain colleagues to resolve issues when required.

Role Execution:

· To deliver excellent customers service to all club visitors.

Regional Operations Manager  (220002D3)

The job holder is responsible for working with the Head of Operations and the Unit Management team within their geographical area of responsibility to ensure that all opportunities to identify and drive sales are maximized whilst at the same time ensuring tight cost control procedures are in place.

1.    Sales and Commercial Performance 
• Working with Unit Management team oversee the preparation of outlet budgets for your geographical area of responsibility and present back to the Head of Operations.
• Work with Unit Management team to maximize sales and profitability of the outlet identifying internal and external opportunities.
• Formulate and implement retail strategies and procedures in discussion with the Head of Operations.
• Work with Unit Management team to ensure strict controls in place to manage cost of goods and staffing costs feeding back any concerns on an ongoing basis.
• Ensure Unit Management team are following strict stock holding levels in conjunction with the level of business.
• Conduct SWOT review to analyze the customer profile and make recommendations to the Head of Operations.
• Provide on-going feedback on competitor and event activities and make recommendations.
• Conduct monthly reviews with your direct reports on business performance and submit action plans with agreed timelines on how any opportunities or areas of concern and going to be rectified or actioned.

2.    Inventory Management / Procurement
• Seek feedback from the Unit Management team and Customers on satisfaction of redemption and merchandise items and feedback any concerns / comments to the Procurement team.
• Liaise with the Unit Management / Procurement team on slow moving lines on the Redemption counter and agree and actions to be taken.
• Work with Procurement team to ensure that all new stock lines are communicated at Unit level and that they are available within the Unit in a timely manner.
• Ensure pricing of merchandise agrees with the Retail pricing on the corresponding Warehouse weekly report.
• Monitor any product Returns to the Warehouse on a monthly basis and follow up with the Unit / Warehouse as necessary.
• Ensure the Unit Management team has the agreed number of lines always available on the Redemption counter as per the Redemption stocking policy.
• Work with Procurement team to ensure that seasonal calendar of events is followed and product in merchandise and redemption areas is most relevant.

3.    Business Management & Development 
• Seek opportunities for business development within the geographical area of responsibility.
• Encourage unit Managers to identify new business opportunities within their units and try new ideas.
• Work with the Head of Operations / New Business Manager on the roll-out of new projects to agreed costing and staffing levels.
• Keep abreast of local opportunities / Mall developments and report back your findings in a timely manner.
• Understand Territory dynamics (demographics, consumer behavior, market understanding etc.)
• Be aware of offers / promotions in competitor sites and liaise with Head of Operations / Marketing Department on counter offers / suggestions.

4.    Operational Standards and Management
• Work closely with Unit Management team to move machines / games monitoring payouts to drive maximum revenue possibilities from the current product mix.
• Ensure all the stores are following the Standard Operating Procedures and Customer Service standards
• Ensure all the stores are following the company policy on employment and state laws, health, and safety standards
• Ensure all the stores portray the company image in all aspects of personal presentation and adheres to the company dress code as laid out by the Company
• Ensure all store sales, promotions are planned effectively, executed, and promptly and always maintained professionally.

5.    People Management 
• Be a role model for your direct reports and lead by example in everything that you do.
• Encourage open honest feedback from direct reports and follow up / action as necessary.
• Assist the Unit Manager in grievance handling and disciplinary actions as necessary.
• Ensure skill development of all staff within the business identifying future talent potential.
• Set KRA’s for direct reports and conduct performance appraisal as per the company schedule.
• Oversee staff deployment and drive motivation levels of the direct reports.
• Encourage and lead Team building / Customer care initiatives.

Store Manager

Ensure customer service/sales takes priority over tasks

Optimise sales in line with company budgets ensuring right product at right time

Ensure all sales opportunities are maximised through effective use of all promotional/marketing opportunities

Ensure effective merchandising layout implemented in relation to sales targets and store objectives, utilising merchandising standards as set out in section 3

Monitor and continuously seek to understand commercial environment, local trading patterns, competitor activity and market trends in the retail sector and their impact in store

Monitor the handling of customer complaints in line with Company policy and seek regular feedback

Manage operating costs within budgetary guidelines

Ensure that staff adopt and adhere to the company dress code in order to promote a positive and professional image at all times

To maintain strict levels of confidentiality with regard to all areas of the business particularly commercial information and personal details of employees

Ensure that staff have the skills needed to meet company expectations and identify and prioritise training needs accordingly

Carry out regular and relevant in-store training and enrol staff on relevant Learning and Development courses
